How to Prepare Artwork Files for Custom Packaging Printing

A print-ready packaging file should match the final dieline, use CMYK or confirmed Pantone colors, include enough bleed, keep important text inside the safe area, and contain high-resolution images with outlined or embedded fonts. It sounds simple, but artwork preparation is where many custom packaging projects slow down or go wrong.

From what I have seen in real packaging projects, buyers often focus on the visual design and assume the printer can fix the technical details later. Sometimes that is possible. Sometimes it changes the layout, delays sampling, or creates color and cutting risks. A beautiful design is not yet a production file until it works with the actual packaging structure.

Quick answer: The safest packaging artwork file is usually an editable AI or print-ready PDF built on the approved dieline, with correct color mode, bleed, safe margins, outlined fonts, linked images embedded, and special finishes placed on separate layers.

Start With the Correct Packaging Dieline

The dieline is the structural template of the packaging. It shows the cut lines, fold lines, glue areas, flaps, windows, perforations, and sometimes sealing or overlap zones.

Your artwork should be placed on the final dieline supplied or approved by the packaging manufacturer. I would not suggest designing on a guessed template from the internet unless the structure and dimensions have already been checked.

Two boxes can look almost identical after assembly but use different flap lengths, glue positions, folding directions, or locking methods. A small structural difference can move text, graphics, and finishing areas into the wrong position.

If you do not have a dieline yet, send the supplier:

  • The product dimensions
  • The desired finished packaging size
  • A reference photo or structure example
  • The product weight
  • Any insert, window, zipper, handle, or closure requirements

The supplier can then prepare or confirm a suitable dieline before the artwork is finalized.

This is often overlooked

Do not delete, stretch, rotate, or move dieline elements unless the packaging supplier confirms the change. The dieline is not decoration. It controls how the packaging is cut, folded, glued, and assembled.

Which File Formats Are Best for Packaging Printing?

Packaging suppliers usually prefer editable vector files because they are easier to inspect and prepare for production.

A high-resolution JPG may look clear on screen, but it is still a flattened image. The printer cannot easily adjust individual colors, text, foil areas, or dieline placement.

In my opinion, the safest handover is usually:

  • The editable AI file
  • A print-ready PDF
  • A visual JPG preview
  • Any special color or finishing notes

Use CMYK or Confirmed Pantone Colors

Most packaging printing is prepared in CMYK, which uses cyan, magenta, yellow, and black inks. RGB is designed for screens and can show brighter colors than standard printing can reproduce.

If RGB artwork is converted only at the final stage, some bright blues, greens, oranges, and neon-like shades may shift noticeably.

Pantone colors can be useful when a brand needs a more controlled spot color, such as a specific logo color or a large solid background. Still, Pantone ink can look different on coated paper, kraft paper, textured paper, plastic film, clear labels, and metallic materials.

This is why I usually suggest confirming color with a physical sample or printed proof when brand color accuracy is important.

Color note

A screen preview is useful for checking layout, spelling, and general color direction. It is not a reliable final reference for printed color because screens, materials, inks, coatings, and lighting all affect appearance.

Add Bleed and Keep Important Content Inside the Safe Area

Bleed is the artwork that extends beyond the final cut line. It prevents unwanted white edges when the packaging is trimmed.

The required bleed depends on the packaging type and supplier, but 3 mm is common for many paper packaging projects. Flexible packaging, labels, sleeves, and large-format printing may use different requirements.

The safe area is the space inside the cut or fold lines where important text and logos should remain. Cutting and folding always have production tolerances, so text placed too close to an edge may look uneven or be partially cut.

Keep these elements away from trim lines, folds, glue flaps, seams, and closures:

  • Brand names and logos
  • Ingredients and directions
  • Barcodes and QR codes
  • Regulatory information
  • Small icons and certification marks
  • Fine borders and decorative frames

Thin borders close to the cut edge can be especially risky. Even a small cutting shift can make one side look thicker than the other.

Check Image Resolution, Fonts, and Small Text

Image resolution

Raster images should normally be around 300 DPI at the final printed size. Enlarging a small image inside the artwork file reduces effective resolution and can cause softness or pixelation.

Logos, icons, and line drawings are better supplied as vectors whenever possible because vectors remain sharp at different sizes.

Fonts

Fonts should be converted to outlines or embedded in the final file. If the printer does not have the same font, text may reflow, change appearance, or disappear.

Keep one editable backup before outlining fonts. Once text is outlined, it is harder to edit.

Small text and thin lines

Very small text, light gray text, reversed white text, and ultra-thin lines may look clear on screen but fail in production. The safe minimum depends on the printing method, material, ink coverage, and background.

To be honest, this is where many labels and cosmetic cartons become difficult to read. When regulatory text must be small, use a clean typeface, strong contrast, and realistic line weight.

Put Special Finishes on Separate Layers

Foil stamping, embossing, debossing, spot UV, white ink, varnish, cut-outs, windows, and other special processes should be clearly marked on separate layers.

Each layer should use a clear name, such as:

  • Gold Foil
  • Spot UV
  • Emboss
  • White Ink
  • Cut Line
  • Window

These areas are often created with a solid spot color so the prepress team can identify them correctly. The spot color itself is only a production marker. It does not mean the foil or finish will use that visible color.

Keep foil, embossing, and spot UV away from folds, very fine text, tiny gaps, and unstable edges unless the supplier has confirmed the design is suitable.

If two special finishes need precise registration, production tolerance should be discussed before approval. A screen mockup can make perfect alignment look easy, but physical production always has some movement.

Review Every Panel in the Final Assembled Direction

Flat packaging artwork can be confusing. Some panels appear upside down or rotated on the dieline because they will fold into the correct position after assembly.

Before approving the file, check:

  • Which panel is the front, back, top, bottom, and side
  • The opening direction
  • The text orientation after folding
  • Whether important graphics cross folds or seams
  • Whether glue flaps cover any artwork
  • Whether the barcode remains flat and scannable
  • Whether legal text is on the correct panel

I usually suggest reviewing both the flat dieline and a 3D mockup. The flat file is needed for technical checking. The 3D view helps non-technical team members understand how the design will look after assembly.

A physical blank sample or printed sample is even more useful when the structure is unusual or the product fit is critical.

Packaging artwork approval should include more than visual preference. The buyer, designer, product team, regulatory team, and supplier may each need to check different details.

Once mass production starts, even a small text or color change may require new plates, a new sample, or additional setup charges.

Common Questions About Packaging Artwork Files

Can I use Canva artwork for custom packaging printing?

Canva can be useful for early design work, but the exported file may need technical checking. Confirm the final dimensions, color mode, bleed, image resolution, font handling, and dieline alignment before production.

Can the supplier create the dieline for me?

Usually yes, if you provide the product dimensions, desired packaging style, quantity, material direction, and any functional requirements. The dieline should be confirmed before the final design is completed.

Do I need both AI and PDF files?

It is helpful. The AI file gives the prepress team editable artwork, while the PDF provides a stable visual and print reference. A JPG preview can also help confirm how the final design should appear.

Why does the printed color look different from my screen?

Screens use RGB light, while printing uses inks on physical materials. Paper color, coating, film transparency, ink absorption, lighting, and print method all affect the result.

Should I approve mass production from a digital mockup?

A digital mockup is useful for layout and appearance, but it cannot fully confirm material, structure, color, finish, or product fit. For important projects, I would approve a physical sample before mass production.
